This page explains how electronicpublishing.org,
which is managed by Pencil Limited, uses any information you disclose and the
ways in which we protect your privacy. We will not sell, publish, knowingly
disclose any of the details you disclose here. As a membership association only
registered members may post to the list and your inbox. If you can think of
ways we may improve or enforce your privacy please let us know.
Pencil Limited, a UK company,
has registered under the Data Protection Act as the data agent for the electronicpublishing
mailing list and membership information. As such Pencil Limited has legal duty
to protect any information we collect from you. We use our best endeavours to
safeguard your data, and keep strict security standards to prevent any unauthorised
access to it. We do not pass on your details to any third party unless you give
us permission to do so.
We collect three kinds of information: registration information, your email contributions and correspondence submitted to the electronicpublishing.org or electronicpublishing.net domains and site usage information from log files (Apache and Mailman).
You do not have to register to use the electronicpublishing.org site, but you do need to register to take part in the Discussions, mailing lists or if you want to receive the Discussion digests or email notifications.
The registration information we collect is: your user name (which does not need to be your real name), a password, and email address. This information is stored within the list management software (Mailman) which is protected by passwords. This information may also be stored on back-up tapes and/or mirror sites so as to avoid loss of data and continuity of service.
Email you send - whether as a contribution to a discussion or as direct feedback or comment to electronicpublishing.org or electronicpublishing.net or to the list-owners or moderators - will be stored and may be used as follows:
i) Comments and questions
If you send an email to the list owners or
moderations we may forward and discuss that email amongst ourselves in order
to consider and respond to your comments. If your question is technical, we
may need to pass it to our technology suppliers. We do not pass on any of your
personal information when dealing with your enquiry, unless you have given us
permission to do so. Once we have replied to you or resolved your comments,
we keep a record of your messages and our responses.
ii) Discussions/list contributions
When you send comments to the lists, these can be read by anyone subscribed
to the discussion lists or - where the list is available via a web interface
- to people visiting the page. Your registered user name appears next to your
comments. All/any comments may be read, on our behalf, by moderators who may
delete them if they break our terms of use. Archives of the discussion lists
may be kept for as long as determined by Pencil Limited. Your contributions
may be edited, abstracted and quoted, however you retain copyright in your postings
- see our copyright notices for further information.
i) Cookies
Cookies are pieces of data created when you
visit a website. The cookies our site uses are "session cookies", which means
that certain information about your visit is stored temporarily while you move
around the site. The only area of the site using cookies is the web interface
to the Mailman system which supports our discussion lists. You can choose not
to accept cookies and access the lists solely via email. Please see the latest
notes prepared by Mailman for the version in use in the List section of the
site.Session cookies are deleted when you leave
the site. They do not contain any personal information about you.
ii) Log files
Log files allow us to record visitors' use
of the site. Log files do not contain any personal
information. The logs are used to analyse site usage patterns.
You can change your registration information at any time by using either the web interface or by following this list administration instructions on the mailing list.
Changes to this privacy policy
If this privacy policy changes in any way, we will place an updated version on this page and notify you via the website and via the mailing list.
